Client Onboarding

About 10 minutes. You can stop and come back — nothing is lost until you submit.
The one rule: “Not sure” is always an acceptable answer. Every question here can be left blank or marked Not sure. We would far rather you leave something blank than guess — a guessed business number costs a week; a blank one costs a two-minute phone call. Nothing here is a test.

1  Your business

Only the first two lines are fussy, and only because mobile carriers check them character-by-character against government records. Everything else here is easy.
What customers know you by.
Exactly as on your incorporation certificate or GST/HST return.
Canada: 9 digits on your GST/HST return. US: the EIN on your IRS letter. Don't have it handy? Leave it — we'll get it on the call.
Not sure is fine — we confirm it from your business number.
The one on your registration — not necessarily where you work from.
Blank is common and fine.
Plumbing, HVAC, landscaping.

2  Who we talk to

If that is all you, use the same name and details on both lines — most owners do.

3  Your phone

Business texting has to be registered with the mobile carriers before a single message can go out. We handle the whole submission — we just need these three answers.
The number customers call today.
Moving it takes about 2 weeks. A new one works same day.
Carriers require this. Every honest answer is acceptable — there is no wrong one.
You do not have to write sample text messages. That is the part everyone gets stuck on, so we took it off your plate — we draft three in your voice and send them over for you to approve or change.

4  How you get work

This section is the whole point of the form. Everything above is admin; this is what we actually build around.
One or two sentences, your own words. No marketing language needed.
Towns you cover, or how far you'll travel.
The honest version, mess and all — “it rings my cell, if I'm on a roof I miss it, sometimes I call back that night.” That is the answer we can automate. A tidied-up version produces automation that doesn't match your day.

5  Email and access

Three short answers. We take it from there.
Leave blank and we'll suggest one.
Just the name, e.g. yourbusiness.ca.
You'll click accept on each.
We will never ask you for a password — and you should never send one. Not to us, not to any vendor. If anyone emails asking for your Google or Facebook password, including someone claiming to be us, treat it as fraud. Instead each platform emails you an invitation. You click accept, we get our own login, you keep yours, and you can revoke us in one click at any time.

6  Authorisation

I confirm I am authorised to act for the business named above. I authorise the provider to set up and manage the accounts and integrations described here on our behalf, including submitting business-verification and messaging registrations to carriers and platforms using this information. The information is accurate to the best of my knowledge, and any customer list we provide was collected with those people's consent. We may revoke access at any time in writing.

7  Before anything switches on

Nothing gets set up until a card is on the account. No exceptions — and this isn't us being difficult.
Phone numbers, call minutes, texts and email volume are billed by the carriers, at cost, passed straight through. A carrier will not issue a number or send a message against an account with no payment method — it simply refuses.

We deliberately do not collect card details on this form. Typing a card number into an intake form is exactly the sort of thing you should refuse to do, and we're not going to ask you to. You'll get a secure link straight from the payment processor once this comes back. We never see or store the number.

The clock starts when the card goes on, not when this form is submitted. Form back Monday, card on Friday — we lost the week. It's the most common reason an onboarding stalls.

8  What happens next

  1. Within 1 business day — we read this and come back on anything unclear, usually one or two things.
  2. Same call — you get the secure card link, and your three sample texts to approve.
  3. Days 1–2 — account built; access invitations sent for you to accept.
  4. Days 2–3 — texting registration submitted. Carrier review runs from days to a few weeks and is outside anyone's control. Everything else carries on in parallel.
  5. Days 3–5 — email, calendar and lead intake built.
  6. Before go-live — you get a walkthrough and you approve it. Nothing reaches a real customer until you've signed off.
Three fastest ways to slow this down: guessing at the legal name or business number instead of leaving it blank; leaving the card until last; and tidying up your answer to “what happens when a lead comes in.”
